Appointments, Payments & fees

Please remember to cancel or reschedule 48 hours in advance. You will be responsible for the entire fee if cancellation is less than 48 hours. The card on file will be charged $125 or an invoice will be mailed/emailed to the address on file.

If you DO NOT CONFIRM your schedule appt, this will be treated like a NO SHOW/LATE CANCEL, a fee of $125 will be charged to the patient. We operate on a schedule and depend on confirmation to plan accordingly. Additionally, if appointment is not confirmed, we will place another confirmed patient in that time slot.

  • Unconfirmed appointments will be treated as No Call/No Show, and the card on file will be charged our No Call/No Show rate of $125.

  • New patients wishing to schedule a first time appointment will be required to provide a Debit/Credit card to hold their appointment.

  • Due to the high demand and high volume of appointments, after 2 No Shows, clients will not be able to book with The Well Counseling Services, LLC  until after a period of six months. No shows are defined as: No Call/No Show to scheduled appointment, Late Cancellation, failure to confirm appointments.

The standard meeting time for psychotherapy is 50 minutes. It is up to you, however, to determine the length of time of your sessions. Requests to change the 50-minute session needs to be discussed with the therapist in order for time to be scheduled in advance.

A $25.00 service charge will be charged for any checks returned for any reason for special handling.

Cancellations and re-scheduled session will be subject to a full charge ($125-$175) if NOT RECEIVED AT LEAST 48 HOURS IN ADVANCE. This is necessary because a time commitment is made to you and is held exclusively for you. If you are late for a session, you may lose some of that session time

Charges
The Well charges a fee for service. Payment is due at the time of service. If the session runs longer, the therapist takes responsibility and no additional fee is incurred. Court appearances, letter writing, affidavits, and telephone counseling are subject to additional charges. We accept Blue Cross Blue Shield, Medicare, Tricare insurance and Fee for Service. Click here to view the Services & Fees page for a detailed list of possible charges.

Cancellation Policy
A scheduled appointment is reserved exclusively for you. A cancellation fee equal to a full session fee ($125 and $175 for couples) will be charged if a 48-hour cancellation notice is not provided. 

Late Arrival Policy
If you cannot make it to your appointment on time, please notify the therapist that you will be late. If you are more than 15 mins late to your appointment, and do not notify the therapist, you will be rescheduled and charged the cancellation fee of $125.. 

Acceptable Forms of Payment
Payments are accepted in the form of cash, check and credit/debit cards. Please make all checks payable to “The Well Counseling Services.”

Privacy and Confidentiality

  • The Well Counseling is ethically and professional held accountable to comply with the HIPAA Act and with the laws of the State of South Carolina.

  • As a patient, you have the right to see your therapy file. Psychotherapy notes are afforded special privacy protection under the HIPAA Act and are excluded from this right.

  • You have the right to restrict the use and disclosure of your protected health information for the purposes of treatment, payment and operation. If you choose to release any protected health information, you will be required to sign a RELEASE OF INFORMATION form detailing exactly to whom and what information will be disclosed.

  • The Professional Code of Ethics and South Carolina State Law requires counseling sessions to be confidential. Confidentiality is waived when:

    • A judge’s court order requires it.

    • A patient engages in or reports awareness of the abuse of a child or vulnerable adult, or has knowledge that a child is in danger of abuse or neglect.

    • A patient discloses plans to harm another person. In this case, the therapist is required to warn the intended victim and report information to legal authorities.

    • A patient discloses plans for suicide or self-harm. In this case, the therapist is required to make reasonable attempts to contact the nearest of kin and notify legal authorities.

    • A lawsuit is brought against the therapist.

  • Confidentiality is limited when:

    • A professional consultation occurs between the counselor and other therapists or the patient’s physician (as signed and approved by the patient’s HIPAA form).

    • The therapist texts, calls, or emails to set-up or confirm appointments or to follow up on key issues.


As a new patient, you will be required to sign a Policies statement agreeing to these policies and acknowledging your agreement to payment for any services incurred (payment in full if you are self-pay or your deductible and co-payment if you are using insurance).
